Frequently asked questions (FAQ)

Are the applicants required to be EU nationals?

Citizenship of an EU Member State is only required in case of applications for Management Board members.

The calls for members and alternates of scientific committees do not include a requirement of possession of EU Member State citizenship. However, it should be noted that EMA is a European Agency, embedded in the EU regulatory environment and with practical implementation in the EU Member States. The purpose of nominating members from interested parties is to ensure appropriate representation of stakeholders from across the EU.

What is the workload? How much time do the committee members spend on preparation for the meetings and in the meetings?

The approximate workload is indicated in the call. Depending on the Committee it is between 2 and 4 days of the actual meeting per month and some additional preparatory and follow-up work outside plenary meetings. You can find more information about the workload on EMA webpages for the relevant committee. See in particular: work plan, agendas and outcomes. This gives you an indication of the workload.

What are the costs reimbursed and allowances received?

The committee members are reimbursed for participation in the plenary committee meeting with regard to travel, accommodation and daily allowance in accordance with rules specified in the EMA document: "Rules for reimbursement of expenses for delegates and experts attending meetings" (effective from 14 June 2019).

What are the rules of participation for the "alternates"?

The rules of participation of "alternates" are set in the Rules of Procedures of the relevant committee. You can access this document on the EMA webpages for the relevant committee. In general, an alternate represents and votes for the nominated member in the absence of the member, when he/she is not attending the meeting. The alternates, however, are always welcome to participate in the meeting, but their cost will only be reimbursed if the member does not participate.

What is the timeline of the selection process, when can I expect an answer?

Upon submission of your application you will receive a confirmation of receipt (in general within 48 hours, but please bear in mind public and Commission holidays). Should you not receive a confirmation, please send the message again to: SANTE-CALL-AGENCIESatec [dot] europa [dot] eu (SANTE-CALL-AGENCIES[at]ec[dot]europa[dot]eu) . Never delete the original message, because it can serve as a proof of your submission within the deadline.

The full process of the selection and appointment by the European Commission or the European Council is quite long and may take approximately 1 year for Commission appointments and up to 1 year and a few months for the Council appointments (the call indicates who will appoint the concerned members).

All applicants will receive an answer when the Appointing Decision is published.

Are late applications accepted?

Late applications (i.e.: applications sent after the deadline) are not accepted as a general rule. In exceptional circumstances, like for example: the unavailability of the Commission server shortly before the expiry of the deadline; the Selection Panel can decide to accept late applications if duly justified.

The call indicates that "Organisations can put forward (i.e. support by a recommendation letter) more than one candidate".
Should the organisations indicate who is suggested as a member and who as an alternate?

It is preferable not to indicate whom the organisation recommends as a member and whom as an alternate. This information would not by any means influence the eligibility of members or decision on the nomination for any of the positions.
